What data is processed during webinars?

With this privacy policy, we would like to inform you about the processing of personal data when participating in webinars using the “WebinarGeek” software.

Responsible persons

4conform Gmb is responsible for data collection and processing in the context of webinars.

Use of your personal data

4conform uses the WebinarGeek software (WebinarGeek, Chroomstraat 12, 2718 RR Zoetermeer, Netherlands) for the organization, implementation and follow-up of webinars. WebinarGeek acts as our processor in this context. In this context, please also note the company’s data protection information: https://www.webinargeek.com/de/datenschutzerklarung. 4conform is responsible for data collection and processing in the context of webinars.

We collect and process the following personal data from persons who register for or participate in our webinars:

  • Information about the webinar participant: first name, last name, e-mail address, time of registration for the webinar, company/organization
  • Webinar metadata: Topic, description if applicable, device/hardware information and the active time the window was open.
  • Text data: If a webinar participant uses the chat, question or survey functions, the text entries made by the respective participant are processed and logged. If questions are asked that are answered as part of the follow-up to a webinar, the questions and the email addresses of the webinar participants are processed in order to be able to answer them afterwards.

Automated decision-making within the meaning of Article 22 GDPR is not used.

Legal basis of the processing

The processing of personal data in the context of WebinarGeek is based on the legal ground of legitimate interest pursuant to Article 6(1)(f) GDPR, which consists in the organization and implementation of webinars as well as the follow-up and further development of webinars. In the case of the implementation of pre-contractual or contractual measures, the legal basis is Art. 6 para. 1 lit. b GDPR. In the case of your consent, the legal basis is Art. 6 para. 1 lit. a GDPR, which can be revoked at any time.

Data processing

As part of the data processing when using WebinarGeek, no data is transferred to third countries.

Rights of data subjects

Data subjects have the right to obtain from the controller access to the personal data concerning them and the right to rectification of inaccurate data. In addition, there is a right to erasure if one of the reasons specified in Article 17 GDPR applies, e.g. if the data is no longer required for the purposes pursued. There is also the right to restriction of processing if one of the conditions set out in Article 18 GDPR applies and, in the cases set out in Article 20 GDPR, the right to data portability. If data is collected on the basis of Article 6(1)(f) (data processing to safeguard legitimate interests), the data subject has the right to object to the processing at any time on grounds relating to his or her particular situation. We will then no longer process the personal data unless there are demonstrably compelling legitimate grounds for the processing which override the interests, rights and freedoms of the data subject, or the processing serves the establishment, exercise or defense of legal claims. Storage duration

Personal data processed in connection with webinars will be stored for as long as is necessary for the defined purposes, taking into account any statutory retention periods. Personal data is generally stored for a period of 2 years after the respective webinar has been held.
